Getting Started with your Corporate Email Address on the Browser
So you have just built your website with KM-Spatial and it's time to set up your email accounts to boost your business.
This step by step tutorial will help you get started with setting up your emails and get those emails rolling via Roundcube.
|
Our technical sales team will help you set up email accounts on your behalf and these come with default passwords. We highly encourage each individual in your organisation to ensure that the first step upon a successful login, is to change the default email password to a strong password of their choice. Steps on how to do this are outlined in Option A in this step-by-step guide |
Direct Access to e-mail via Browser
The first step once you’ve received your login credentials is to login to the web-mail client. KM-Spatial uses Roundcube — a browser-based multilingual IMAP client with an application-like user interface as the default e-mail client.
Access URL for Login - https://firefly.mydata.city/webmail/?_task=mail&_mbox=INBOX | This will redirect you straight to your inbox.
Your email inbox will look like so, if this is the first time you are using our services.
Congratulations, you now have access to email.
Change Password
|
IMPORTANT → To protect yourself and others on the organisational domain, PLEASE DO NOT SKIP THIS STEP! |
A secure password goes a long way in protecting yourself and the integrity of the organisation. Every user is encouraged to change their password as soon as they login for the first time.
To change the default password, please follow these steps:
|
From your e-mail client, on the navigation ribbon located to the left of your screen, click on Settings. |
|
|
In the Settings menu, navigate to Password which is located at the bottom on the list. |
|
|
In the Password settings you will prompted to enter two passwords:
We encourage you to setup a strong password that is at least 8 characters in length which includes:
|
Please desist from using birthdays and children’s names as passwords. This article can help guide you on creating a strong password for yourself. |
KM-Spatial shall not be held responsible for any loss of information or breaches experienced due to the lack of proper security measures in your organisation.
Once your password has been updated, you can switch to Outlook or continue using Roundcube on the web-browser depending on your needs.
Receiving and Sending Mail
We normally send out a test email to our clients on their first time setting up email with us, but in case we delay or have skipped this part of the process (which we sincerely apologise for) here is how to get started sending and receiving emails in Roundcube.
While in your inbox, locate and click the compose icon which looks like this and an email composer page will appear.
Our team assumes you already have experience with sending emails so we will skip the technicalities but here is some information you might be interested in knowing based on the frequently asked questions we always receive.
-
Yes, you can attach documents and files up to 64MB in size. (Larger than what G-mail offers before asking you to upload to GoogleDrive right?)
-
You can request a delivery status notification just to be sure your email reached its destination
-
You can choose to make it a low, normal, medium or high priority email too just like in outlook
Copying and Blind-copying Someone
Perhaps you’d like to CC or BCC someone in an email? Check for the email recipient and receiver header which looks like so,
And look to the far-right of this header for the add recipient header which has this icon and click on it. A whole list of other options will appear as shown below.
Select the option that resonates with your needs and proceed as usual. Once your email is ready, click the send button and watch the communication happen.
